Privacy Notice - Live Trial
Mary helps families look after an older relative: a simple phone for them, and a portal and app for the family. This notice explains, in plain words, what personal information we hold during the live trial, why, and what your rights are.
Who we are
Mary Care Group Ltd, 7 Spinney Close, Whalley, Clitheroe, BB7 9WH, United Kingdom. We are the data controller for the trial and are registered with the Information Commissioner's Office (ICO), registration number ZC178530. For anything about your data, email privacy@marycare.co.uk.
Who this covers
Everyone taking part in the trial: the account owner, invited family members and caregivers, and the person being cared for (the care recipient). All participants are adults aged 18 or over. The trial is limited to invited friends and family.
What we collect and how long we keep it
| Information | Why | Kept for |
|---|---|---|
| Your name and email address | To sign you in and run your account | While your account is open |
| The care recipient's name, photo, date of birth and phone number | To set up their Mary phone and show the family who they are caring for | While their profile exists |
| The care recipient's current location | To show the family where they are, if this feature is switched on. Each new reading replaces the last one; we do not keep a movement trail by default | Only the latest reading |
| Safe place alerts (entering or leaving a safe area) | To tell the family when the person leaves or returns to a safe place | 90 days |
| HELP alerts (when the HELP button is pressed) | To alert the family and keep a record of what happened | 24 months |
| Family notes | So the care team can share day-to-day updates | 12 months |
| Completed reminders | So the family can see what was done | 90 days after completion |
| Contacts, photos and memories the family adds | To show on the Mary phone | While your account is open |
| Call records from the Mary phone (who called, when) | So the family can check the person is in touch. We never record calls | While your account is open |
| Technical records (device details, sign-ins, changes made) | To keep the service secure and working | Up to 12 months |
Why we're allowed to use this information
- Running the trial: you asked to take part, and we process your information to provide the service you signed up for.
- Safety features (location, safe places, HELP): our legitimate interest in helping families keep a vulnerable relative safe, agreed with the account owner when these features are switched on. Where the care recipient cannot decide for themselves, the account owner confirms they have the authority to act for them.
- Security and legal duties: keeping the service secure and meeting our obligations under UK law.
Where your information lives
Our servers and database run on Amazon Web Services in the United Kingdom (London). We use a small number of trusted suppliers to run the service:
- Amazon Web Services - hosting and storage (UK)
- Clerk - secure sign-in
- Google Firebase - sending app notifications
- Google Workspace - our support email
Some suppliers may process limited technical data outside the UK. Where that happens, it is covered by legally approved safeguards.
What we never do
- We never sell your information.
- We never send you marketing unless you separately opted in, and you can opt out at any time.
- We make no automated decisions about you.
Your rights
You can ask us to show you the information we hold about you, correct it, delete it, restrict how we use it, object to how we use it, or give you a copy to take elsewhere. Email privacy@marycare.co.uk and we will respond within one month. You can also complain to the ICO at ico.org.uk.
Leaving the trial
You can leave at any time. Tell us at privacy@marycare.co.uk and we will close your account and delete your household's information from our live systems. Encrypted backups expire automatically within 35 days. If you would like a copy of your information first, ask before deleting.
Changes to this notice
If we change this notice in a way that matters, we will show you the new version in the portal and ask you to read it again before continuing.
